Managing the student attendance bank

Track a student's attendance point balance — earned automatically through approved engagement activities and adjusted manually when needed.

Overview

When the Attendance Bank is enabled for your district, a dedicated card appears on each student's Visitations tab. The card shows the student's current point balance and a log of every entry — points earned from completed engagements and any manual additions or deductions recorded by staff.

Teachers and counselors can add points to recognize extra effort or correct an under-count, and deduct points when appropriate. Every adjustment requires a reason, which is saved alongside the entry for a full audit trail.

Finding the Attendance Bank

  1. Click Students in the sidebar and open a student's profile.
  2. Click the Visitations tab.
  3. Scroll down below the Visitations list to find the Attendance Bank card.

The card displays the student's current point balance and, below it, a table of the most recent entries (up to 25). If the student has no entries yet, the card shows "No attendance bank entries have been recorded yet."

Reading the entry table

Each row in the entry table describes one point transaction:

  • Date — when the entry was recorded.
  • Type — either Earned (points added from an engagement activity or manual addition) or Deduction (points removed).
  • Points — the amount, shown as a green badge for positive values and an amber badge for negative values.
  • Description — the reason or source for the entry (e.g., "Earned from in-person visitation" or a custom note entered by staff).

If the student has more than 25 entries, a note at the bottom of the table shows how many older entries are hidden. Older entries are not deleted — they are simply not displayed in this view.

Adding points manually

Teachers and counselors can manually award points to a student's attendance bank.

  1. Open the Attendance Bank card on the student's Visitations tab.
  2. Click Add points.
  3. Enter the number of points to add (must be a whole number greater than 0).
  4. Enter a reason for the addition in the Reason for addition field.
  5. Click Add points to confirm.

The card refreshes automatically and the new entry appears in the table with a type of Earned.

Deducting points manually

Teachers and counselors can deduct points from a student's attendance bank. The Deduct points button is disabled when the student's balance is zero.

  1. Open the Attendance Bank card on the student's Visitations tab.
  2. Click Deduct points.
  3. Enter the number of points to deduct (must be a whole number between 1 and the student's current balance).
  4. Enter a reason for the deduction in the Reason for deduction field.
  5. Click Deduct points to confirm.

The card refreshes automatically and the new entry appears in the table with a type of Deduction.

How points are earned automatically

Points can also be added automatically when a student completes an approved engagement activity — for example, attending a visitation or completing a daily engagement log entry. The exact activities that earn points, and how many points each one earns, are configured by your district administrator.

If an engagement activity is later deleted, Scout automatically reverses the points that were earned from it.

Tips

  • Always include a clear reason — the reason you enter is visible in the entry table and helps maintain an accurate record for audits or parent conversations.
  • You can't deduct more than the current balance — the deduction form enforces this automatically, so the balance can never go below zero.
  • Only teachers and counselors can add or deduct points — if you don't see the Add points or Deduct points buttons, your role doesn't have permission to adjust the bank.
  • The Attendance Bank must be enabled — if you don't see the Attendance Bank card on the Visitations tab at all, contact your district administrator to confirm the feature is turned on for your district.
